Privacy notice

Last updated: 24 October 2026

Who we are

This website is run by Secure Comm Solutions Ltd ("we", "us"). We are the controller of the personal information described in this notice.

If you have any questions about this notice or how we use your information, contact us at enquiries@scommsolutions.co.uk or write to us at 01 Beaufort Avenue, Birmingham, West Midlands, B34 6AD, United Kingdom.

Information we collect

When you send us an enquiry through the contact form or the chat assistant on this website, we collect:

  • your name
  • your company name (optional)
  • your email address
  • your phone number (optional)
  • the number of staff in your business
  • anything you write in your message

We do not use analytics, advertising or tracking tools on this website, and we do not load content from third-party services such as Google Fonts. If you use the chat assistant, see "Website chat assistant" below.

How we use your information

We use the information you send us only to reply to your enquiry, to discuss our services with you, and to prepare any quote you ask for.

Our lawful basis is our legitimate interest in responding to people who contact us, and, where you ask us for a quote or proposal, taking steps at your request before entering into a contract.

We will not add you to a marketing mailing list unless you ask us to.

Website chat assistant

Our website chat is answered by an AI assistant, not a person. When you use it, the messages you type are sent from our server to our AI provider, Anthropic, so it can generate a reply. Under its commercial terms, Anthropic does not use these messages to train its models.

We keep the conversation on our server only while you are chatting (at most 2 hours) so the assistant can follow the conversation. If you ask us to contact you, the assistant saves your name, email address, company and a summary of your request as an enquiry, which we keep as described below.

Please do not share passwords, payment details or other sensitive information in the chat. Our lawful basis is our legitimate interest in answering questions from people who visit our website.

How long we keep it

We keep enquiries for up to 12 months after our last contact with you, then delete them. If you become a client, we keep your information for as long as needed to provide our services and meet our legal obligations.

Who we share it with

We do not sell your information. We only share it with service providers who help us run our business, such as our website hosting and email providers and, for the chat assistant, our AI provider, and only so they can provide that service to us. They must keep your information secure and may not use it for their own purposes.

Our hosting provider may keep standard technical logs, such as IP addresses, for security purposes.

Some of our service providers, support staff and subcontractors are based outside the UK. Where they can access your information, we protect it with safeguards approved under UK data protection law, such as the International Data Transfer Agreement.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct information that is wrong
  • ask us to delete your information
  • object to or ask us to restrict how we use it
  • ask us to transfer it to another organisation

To use any of these rights, contact us at enquiries@scommsolutions.co.uk. We will reply within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

Cookies

This website does not use advertising, analytics or tracking cookies, so we do not ask for cookie consent.

We use one strictly necessary cookie, called "sid", only when our own staff sign in to the website's admin area. It keeps them signed in and expires after 8 hours. It is never set for visitors to the public website.
